Data and purposes
Coded visits/payers, business place references, scheduled and actual status dates, fee basis, invoice line items, payment/refund references, actual mileage, expenses and optional minimum-necessary business receipts. No signer ID copies, signatures, SSNs or document contents. Account emails, roles, invitations, attribution, contractual consent, subscription references and support/declarations are also processed. Account/billing processing relies on contract, legal obligations and security legitimate interests. No advertising tracking, third-party fonts, cloud AI, sale of data or automated high-impact decisions. Essential secure HttpOnly SameSite session cookies last up to 7 days.
Access and public links
One-use email links expire in 15 minutes and require matching-email confirmation. Sessions last up to 7 days; sign out all devices revokes other sessions. Recovery requires your email account. Pro includes the owner and four named editors/viewers. Every authorised staff member can read all records and private files in the selected workspace; there are no per-record access boundaries. Editors write ordinary records and reports. Viewers cannot write. Only the owner manages settings, billing, staff, erasure, primary-detail corrections, defect releases, stay corrections and final quarter/year reviews. Staff need the owner’s active Pro. Invitations last 7 days; no invitation email is sent. Removal stops later server access, not retained exports/downloaded copies. State duties and lawful fees vary. This service handles business administration and does not replace your required official journal, verify a signer, execute a notarial act or determine a tax deduction. Minimise data and protect email, devices and bearer links. Encryption at rest is not end to end; authorised support can decrypt server data. Do not upload credentials, payment details, personal identity documents or unnecessary sensitive information.
Providers and transfers
Hosting.com hosts the app/records. Stripe processes subscriptions. Twilio SendGrid sends requested sign-in, purchase and declaration messages. No staff-invitation or operational reminder email is included. Providers may process in the US and other countries. Published Data Privacy Framework/UK-extension, contractual clauses and UK-addendum documents do not confirm every account-specific arrangement. Host support/backup geography, full processing agreements and backup deletion schedules remain unconfirmed; no UK-only hosting promise. Full card numbers are not received by us. No court/regulator API submission is performed.
Retention and rights
Limits: 20,000 history entries and 16 MB UTF-8 JSON per workspace. Private PDFs: free 8 files / 75 MB; Pro 200 files / 500 MB; 25 MB per file. Draft uploads count. Optional JPEG API storage: free 2 MB / 30 files; Pro 100 MB / 500 files; 450 KB and 1920 pixels each. JSON exports contain original-file references, not original bytes; download PDFs separately. Files are not sanitised or authenticated. Keep independent originals. Live workspace history remains until owner erasure. Link expiry/revocation stops access, not retained private history. Accounts/memberships remain until support deletion. Billing/consent/complaint records may be kept 6 years where legally needed. Used/expired authentication challenges are pruned; invitations expire after 7 days. Logs may contain IP, route, time and errors; bounded rate counters use keyed identifiers. Provider backups may outlive live erasure; exact schedule unconfirmed. Request access, correction, deletion, restriction or objection via [email protected]; use JSON and original downloads for portability. Identify your account without card details or tokens. You may complain to the UK ICO or your local authority. Cancelling renewal does not erase data.
